    Virtual Personal Assistant

    Part-Time, Remote · Ongoing Contract2 to 4 hours per dayRemote · U.S. business hours

    Overview

    We are looking for a reliable, detail-oriented Virtual Personal Assistant to support a busy executive with calendar management, travel coordination, inbox management, bookkeeping support, and media outreach. This role is a fit for an operator who enjoys building order, protecting the executive's focus, and taking tasks off the plate without needing to be chased. You must be proactive, responsive, and comfortable working independently.

    Responsibilities

    Calendar and Scheduling
    • Manage and protect a Google Calendar
    • Schedule meetings, calls, and media appearances
    • Handle confirmations, rescheduling, and conflicts
    Travel Coordination
    • Book flights, accommodations, and ground transportation
    • Manage itineraries and logistics
    • Proactively flag and solve potential issues
    Inbox Management
    • Organize and manage Gmail inbox
    • Draft routine responses when appropriate
    • Flag priority messages and track follow-ups
    CRM and Client Systems
    • Manage contacts and workflows in HoneyBook or similar CRM
    • Assist with proposals, contracts, and client communication
    Bookkeeping Support
    • Organize and submit receipts and expenses
    • Categorize transactions in QuickBooks
    • Coordinate with the bookkeeper as needed
    Media Outreach
    • Assist with outreach for podcast interviews and media opportunities
    • Track outreach, responses, and follow-ups
    • Coordinate scheduling once booked
    General Support
    • Act as the executive's point person and gatekeeper
    • Handle administrative and operational tasks as assigned

    Required Skills and Experience

    • Proven experience as a Virtual Personal Assistant or Executive Assistant
    • Experience using HoneyBook or a similar CRM platform
    • Experience with QuickBooks for basic bookkeeping support
    • Strong proficiency with Google Workspace (Gmail, Calendar, Docs, Drive)
    • Excellent organizational and communication skills
    • Ability to work independently and manage priorities
    • Availability during U.S. business hours

    Hours and Commitment

    • Part-time, approximately 2 to 4 hours per day
